Context  
The World Organisation for Animal Health (WOAH) is an intergovernmental organisation responsible for improving animal health and welfare worldwide. The standards it develops for the trade of live animals and products of animal origin are recognised by the World Trade Organization as reference for international sanitary rules (Home – WOAH – World Organisation for Animal Health). With 183 Members, WOAH serves a diverse number of stakeholders from different cultures and regions, with a key stakeholder group being the Veterinary Services of its Members.
Positioning and reporting  
Under the authority and supervision of the Directorate General (DG) of the World Organisation of Animal Health (WOAH founded as OIE).
Job purpose  
You will be responsible for assisting the Directorate General (DG) in his/her daily activities and liaising with the rest of the Organisation and external parties to guarantee the smooth coordination of activities, as well as to prioritize requests and solicitations to ensure the best use of the DGs’ time.
You will also be in charge of providing logistical support and/or coordinating meetings in which he/she participates.
Missions and activities

Provide personal support to the Directorate General
– Take and orient phone calls to the DG;
– Draft, manage and archive incoming and outgoing correspondence;
– Manage the agenda of the DG;
– Liaise with the internal travel coordinators to prepare travel information for the DG such as itinerary, hotel reservations, visa, transportation, appointments and other;
– Manage office supplies for the DG.  

Provide general administrative support to the Directorate General
– Draft and/or manage administrative documents in respect of the relevant visual identity and standards;
– Proofread and format administrative, institutional and technical documents;
– Ensure the administrative processing of the official nomination of New Delegates and accession of Member Countries;
– Manage filing and archiving of administrative, institutional and technical documents and update registers regularly;
– Provide and update information contents, including the contacts database and WOAH webpages as needed;
– Provide occasional administrative support to the Legal Affairs and Partnerships Unit.  

Assist in the logistical management of meetings, missions or events with the participation of the DG
– Liaise with the relevant parties (WOAH Departments and Units, Regional Representations, WOAH Delegates…);
– Coordinate the logistic organisation of meetings, including invitation preparation and follow-up, room-booking…;
– Assist in the preparation and formatting of working documents necessary to participants;
– Participate in the collect and drafting of meeting outcome reports.

Provide support to the preparation of technical and institutional documents
– Draft, format and prepare meeting reports;
– Provide updated dashboards of activities as required;
– Draft and format presentations, working documents and background papers;
– Oversee and/or participate to the translation of documents, and ensure quality control of external translations.

In addition, the Directorate General when necessary, assign to the incumbent any other duties within his/her area of competence.
Qualifications and Experience

Required qualifications/experience
– Undergraduate degree OR degree in administrative support, humanities, or related discipline
– At least 5 years of experience in executive and administrative assistant positions with international exposure.
– Experience in handling personal matters for executives/senior management is a plus  

Required technical skills
– Strong computer skills in a Microsoft environment, including Word, Excel, Access, PowerPoint and Outlook, as well as a good knowledge of Adobe Acrobat.
– Excellent proofreading and editing skills, with strong attention to detail.
– Excellent command of English, both written and spoken.
– Excellent command of French and Spanish, both written and spoken.
– Experience with web content management (standard CMS such as WordPress).

– Excellent communication skills, both written and spoken. 
– Willingness and ability to work in a multi-cultural team with sensitivity and respect for diversity.
– Proven organisational skills and ability to handle work in an efficient and timely manner, defining priorities and meeting deadlines.
– Capacity to work autonomously and take ownership of tasks.
– Strong problem-solving and relationship-building skills.
– Discrete in dealing with confidential matters and materials.  

Additional desirable skills 
– A demonstrated interest in international affairs or public policy is a plus
– Uses best judgment and common sense to work efficiently and solve problems
– Adept at managing competing priorities and keeping others informed of progress
Working conditions
– Type of contract: Fixed-term contract.
– Duration: 2 years renewable.
– Location: WOAH Headquarters 12 rue de Prony 75017 Paris, France.
– Salary: 2900€ net per month commensurate with qualifications and experience), exempt of French income tax + annual performance bonus + plus allowances based on eligibility.
The post is a full-time position based at the WOAH Headquarters in Paris and requires long hours in a seated position at a computer.
It can entail missions abroad.
Telework is currently authorised up to 3 days per week at Headquarters.
